1. Who we are
EverTrust Stays is a trading name of EverTrust Property Management Limited (company number 15757106), registered at 3rd Floor, 86-90 Paul Street, London, England, EC2A 4NE. EverTrust Property Management Limited is the data controller responsible for your personal data and is registered with the Information Commissioner's Office (registration number ZB697996). We are committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. The personal data we collect
We may collect and process: personal identifiers (name, and where required for verification, identity documents); contact details (email address, phone number, home address); booking and enquiry information (dates of stay, property, party size, special requests); payment information (processed securely by our payment providers — we do not store full card details); communication records relating to your enquiry or stay; and website usage data via cookies.
3. How we collect your data
We collect personal data when you submit an enquiry via our website or contact forms; make a booking through our website or booking platforms (including Smoobu); contact us by email, phone or messaging services; or stay at one of our properties.
4. How and why we use your data
We use your personal data to respond to enquiries, manage and process bookings, take payments and deposits, verify guest identity where appropriate, communicate with you before, during and after your stay, protect our properties, comply with our legal obligations, and improve our services and guest experience. Under UK GDPR, our lawful bases for processing include: contractual necessity (to fulfil your booking), legitimate interests (to manage enquiries, protect our properties, and prevent fraud), legal obligation (to keep tax and accounting records), and consent (for marketing communications, which you can withdraw at any time).
5. Data sharing
We do not sell your personal data. We share it only where necessary to provide our services, including with our booking and property management systems (such as Smoobu), payment processors, and service providers such as housekeeping and maintenance teams (who receive only what they need). All third parties are required to process your data securely and in compliance with UK GDPR. Where you book via a third-party platform (such as Airbnb or Booking.com), that platform is a separate data controller with its own privacy policy.
6. International data transfers
Some service providers may process data outside the UK or EEA. Where this occurs, we ensure appropriate safeguards are in place, such as UK-approved standard contractual clauses or an adequacy decision.
7. How we store and protect your data
Your data is stored securely using protected systems with restricted access, and we use appropriate technical and organisational measures to prevent unauthorised access, loss or misuse. We retain enquiry data that does not lead to a booking for up to 12 months; booking, payment and transaction records for up to 6 years to meet tax and legal obligations; and marketing preferences until you unsubscribe. Data is then securely deleted or anonymised.
8. Your data protection rights
You have the right to access, correct, erase, restrict or object to the processing of your personal data, and to request data portability. 9. Marketing communications
We only send marketing communications. You can withdraw consent or unsubscribe at any time by emailing us.
